How to Plan Your SXSW Event
With SXSW just around the corner, there is still time to plan a related event for your brand or business, but you have to be quick. To ensure you’re able to pull it off, we’ve compiled our best tips for planning your SXSW event so all you have to do is put it in action.
Tip 1: Focus on Location
Although there are shuttles, Ubers, and walking shoes, the nearer you are to the action of SXSW, the more successful your event will be; and with all the foot traffic involved with SXSW, the closer you are to the convention or Palmer centers, the more eyes you will have on your event. Even if it’s a smaller event, people walking to and from the official events will see yours and stop by.
Tip 2: Prioritize Experiences
With so much going on, you need to make sure your event stands out. The way to do this isn’t with cheap branded swag, but with experiences. Whether it’s having a fun blue trailer serving drinks or a caricature artist sketching your guests’ portraits, experiences go a long way – especially free ones.
Tip 3: Provide Drinks
Many people think of SXSW as a giant block party, but even those who don’t will be looking for water to combat the Austin heat and all the walking. Some of the best things you can offer at your event are drinks – both alcoholic and soft. Having a variety of beverages will ensure your event appeals to all sorts of people and you’re able to attract the foot traffic you need.
Tip 4: Stay Current
Most brands focus on current events and trends as themes for their events, and yours shouldn’t be the odd one out. Make sure that your event fits with the overarching theme of SXSW and that you don’t look dated in comparison with your event neighbors. If you’re worried about your event, keep it simple and you won’t have to worry about being trendy.
Tip 5: Hire Enough Staff
Obviously, SXSW is busy and the last thing you want is to be too understaffed to handle the crowds. Make sure that you hire enough people, or have enough of your employees present to handle the influx of people, keep them entertained, and spread the word of your business. Without enough hands on deck, you’ll quickly become overwhelmed.
Tip 6: Consider Live Music
Austin is the live music capital of the world, so it definitely won’t hurt to have live music at your event. Consider choosing a local band that has a following – even a small one – to generate buzz around your event and brand. Afterall, the more people that are aware of your event, the more successful it will be.
Tip 7: Keep in Branded
With all the photos that are sure to happen at your event, any chance that you have to sneak your brand in will be well worth it. Signs, banners, swag – whatever you can brand, you should. Even if you don’t plaster your logo on everything, little touches like brand colors go a long way when trying to create brand awareness.
